If you are looking to add users to your business in Liquid, here are some tips for which roles to use for the various people in your company:
- Generally, your legal counsel will be added as a General Counsel. The main function of this role is to create new onboarding processes.
- Generally, your CFO will be added as an Admin. This grants your CFO full access to the account.
- Generally, your controller or finance department will be added a Controller. This role allows your finance department to do all invoice and payment related roles, including setting up the QuickBooks Online integration.
- Generally, your COO will be added as an Admin. This grants your CFO full access to the account.
- Anyone else that you would like to be using Liquid to only approve or reject invoices (but not press pay) should be added with the Hiring Manager role. If you would like to let specific Hiring Managers also pay invoices after approval, you can grant them an additional role of Invoice Payer (this is a sub role to Controller).
- Sometimes, you may want to add your outsourced accountant to the Accountant role. This role allows the user to manage Chart of Accounts, manage invoice policies, view Vendor reports, and view finance reporting -- but does not allow them to pay.
- Anyone that will be using Liquid only to approve or reject invoices on an ad hoc basis should be added with the role Invoice Processor (this is a sub role to Controller).
